Changes to the retrieval of the electronic certificate of incapacity for work (eAU)

In January 2023, the legislator introduced mandatory electronic retrieval of certificates of incapacity for work (eAU) by employers. Before the introduction of the eAU, the process of reporting sick was much more cumbersome and time-consuming. Thanks to digitization with the ZEUS® Workforce Management software solutions from ISGUS, this cumbersome process is now a thing of the past. The legislator has now decided on further steps to simplify the eAU procedure, which ITSG has implemented in a specification. We implemented the changes contained therein in ZEUS® in good time before they came into force.

The role of the ITSG
The Information Technology Service Center of the Statutory Health Insurance Funds (ITSG) is responsible for the telematics infrastructure and develops products for electronic data exchange between employers, service providers and health insurance funds. It defines the specifications according to which the electronic certificate of incapacity for work (eAU) must be retrieved.

The updated ZEUS® software solution was already accepted by the ITSG on 12.09.2024 and will be available to our customers from November 2024.

The following functions have been added

  • Hospital stays (inpatient and daypatient): As soon as the message from the health insurance company arrives via the GKV server, the expected discharge date is automatically transferred to ZEUS® via the interface and highlighted in color. At the end of the hospital stay, the period of the measure is automatically updated. A new query is not necessary. The HR administrator is informed by push message and e-mail and has all the relevant information to hand immediately.

  • Sickness notifications from abroad: Sickness notifications from abroad can now also be processed without any problems. They are integrated into the ZEUS® system via the GKV server interface.

  • Rehabilitation and preventive measures: In the case of rehabilitation or preventive measures, the provisional end of the measure is reported first. This is displayed in the calendar in the same way as the reason for notification and is shown in green in the system. Once the final end date of the measure has been received, the notification can be updated manually. The user is prompted to request the eAU. If this is available, it is automatically displayed in color in the ZEUS® system.

Important key date: 01.12.2024
From December 1, 2024, all old formats of the certificate of incapacity for work will lose their validity. With the ZEUS® solution from ISGUS, companies are on the safe side, as only certified companies are allowed to handle this process digitally.

Efficient analysis with ZEUS® Reporting
ZEUS® Workforce Management from ISGUS supports the entire process not only with data integration, but also with analysis. With ZEUS® Reporting, HR managers can comprehensively evaluate sickness data and identify trends.

Security and hosting at the highest level
In addition to process optimization, ISGUS offers secure and certified hosting in its own Cloud. This allows companies to use the software at no additional cost while meeting the highest security standards. Hosting on German servers guarantees compliance with all relevant data protection regulations and offers users a high level of trust when handling sensitive employee data.

More efficiency and security thanks to digital sick notes
